How do I make a batch payment through the portal?

This article covers what a batch payment is, the benefits of using batch payments, and how to create batch payments in the portal.

The batch payment upload feature allows you to conveniently upload multiple payments at once through the portal streamlining the payment process, saving time and reducing errors.

 

What can you do with batch payments?

  • Easily create and send mulitple virtual cards with one CSV upload
  • Input the full booking information/meta data for each individual card created 
  • First time user? You can generate a batch payment template to help you get started
  • We now support the ability to create batch payments for transfers as well as virtual cards - you can even combine them both in the same file

What are the benefits of using the Batch Payments feature on the portal?

  • Validation Response: Receive a validation response upon uploading the batch file, allowing you time to review before final confirmation.
  • Seamless Integration: Once executed, the payments appear in the portal in the same way as individual transactions. Reconciliation is fully supported and extractable from the Accounts Room.
  • Time Savings: Efficiently handle a large volume of payments to multiple suppliers simultaneously
  • Reduced Effort: Minimise manual entry and the potential for errors

We have a new payments room that we are in the process of introducing to our customers. We have outlined step-by-step instructions for both our current and new payments room on how to create and upload a batch payment CSV below.

 

How do I upload a Batch Payment CSV file - New payments room 

If you're new to batch payments, you can click the "Generate CSV Template" link to generate a CSV guided template. It includes dropdown fields applicable to your organisation data and ensures a smooth upload process. Check out this one-minute video or follow the steps below:


  1. Navigate to the Payments Room from the top menu.
  2. Select "Create Card / Create Payment".
  3. Choose "Create Batch Payment".
  4. Click the link "Generate CSV Template" to proceed with the following template editor.
  5. Select and fill in the required data that is relevant to your batch payment per column and click on the Download button.
  6. Locate the CSV file on your computer and open it in your preferred editor and make adjustments if necessary.
  7. Click on upload. A validation screen will appear.
  8. Click "Upload". Your new payments are now created.

 

How do I upload a Batch Payment CSV file - Current payments room 

If you're new to Batch Payments, you can click one of the metadata example files (“Default”, “Hotel” or “Invoice”) to generate a CSV guided template.  It includes dropdown fields applicable to your organisation data and ensures a smooth upload process. Check this one-minute video or follow the steps below:

Go to the Payments Room and select "Card+” icon.

  1. Navigate to the payments room from the top menu.
  2. Choose "Create Batch Payment".
  3. Click on any of the available metadata links (e.g default, hotel, invoice). You are now ready to begin generating a guided template.
  4. Select and fill in the required data that is relevant to your batch payment per column and click on the Download button.
  5. Locate the CSV file on your computer and open it in your preferred editor and make adjustments if necessary.
  6. Click on upload. A validation screen will appear.
  7. Click "Upload". Your new payments are now created.
